Why I'm a Fanatic About Checking the Spec Before You Click "Order"

I've seen too many good projects go bad because someone skimped on the 5-minute spec check.

Look, I'm not saying I'm perfect. Far from it. In fact, a mistake I made back in Q4 2022 is the reason I'm such a pain in the neck about this now. I approved a rush order for a standard-size McNichols wire mesh panel that looked right in the catalog. We needed it for a safety barrier on a tight deadline. To the eye, the opening seemed correct. But when it arrived, the wire diameter was off by 0.02 inches. That doesn't sound like much, does it? It's about the thickness of a credit card.

That tiny deviation meant the mesh didn't meet the OSHA fall-protection spec for that specific application. The project was delayed by three weeks while we returned the material and waited for the correct McNichols product. The reorder cost us $600 in expedited shipping, and I had to explain to the project manager why our "simple order" turned into a four-week headache. That was the day I stopped trusting "looks about right" and started becoming a spec fanatic.

In my opinion, the single most underrated step in any industrial procurement process is the 10-minute spec verification before you hit submit. It's not glamorous. It doesn't save you money upfront. But it is the cheapest insurance you can buy against a project-killing redo.

My three non-negotiable checks before any industrial material order

As a quality manager, I review about 200 unique purchase orders annually. Based on the rework cases I've handled—and we had a 12% rejection rate on first deliveries in 2023 for spec-related issues—I've boiled my process down to three checks. They don't cover everything, but they'd catch at least 80% of the mistakes I've seen.

1. The dimensional reality check

This sounds boring, but it's where most mistakes happen. You're looking at a McNichols wire mesh panel, and the catalog says it's 24" x 48". You think, "That'll fit the opening." But you didn't account for the fact that the opening is actually 23.5" wide, and the mesh you need has a 2" bearing bar that clips on the side.

I've learned to always, always, have the physical opening dimensions in hand. Don't trust the drawing from six months ago. Go measure it yourself. Yes, it takes 15 minutes. But that 15 minutes beats the 2 days it'll take to process a return, restock the item, and re-order the right size. The way I see it, a measuring tape is the cheapest quality control tool in your kit.

2. The material strength and tolerance verification

This is the one that bit me with that wire mesh order. There's a huge difference between standard duty and heavy duty, or between galvanized and stainless steel. Even within the same product family from McNichols, the tensile strength can vary. I've started checking the product data sheet against the project's engineering spec. If the spec calls for a minimum yield strength of 30,000 psi, your standard mesh might only offer 25,000 psi. You'd need the heavy-duty variant.

I ran a blind test with our procurement team last year: same McNichols woven wire cloth, but one order was the standard grade and the other was the industrial grade. 80% of the team couldn't tell the difference by looking at the sample. But the standard grade failed a structural load test by 15%. The cost difference per panel? $2.40. On a 100-panel order, that's $240 for a measurably safer installation. That's a no-brainer.

3. The delivery and handling fine print

Here's a gotcha that gets overlooked: how the material is packaged and delivered. A large sheet of expanded metal is heavy and sharp. If it's not properly crated or banded, it can arrive bent, scratched—or worse, cause a safety incident for the delivery driver.

I now include a packaging spec in every order for wire mesh or grating. I know that sounds like micromanaging, but I've had a $4,500 sheet of perforated metal arrive with a corner bent because it wasn't adequately supported in the truck. The vendor's standard packaging was fine for their warehouse, but not for a 300-mile LTL shipment. Now every contract includes a note: "Material must be palletized and edge-protected for transit." It takes two seconds to write, and it has saved us an estimated $8,000 in potential damage claims over the last two years.

But isn't this overkill? Don't you trust your supplier?

I get this question a lot. And I have mixed feelings about it.

On one hand, yes. I trust a company like McNichols to deliver what's in their catalog. Their product quality is consistent, and their technical support is solid. If I order a 2" x 12" fiberglass bar grating, it will be 2" x 12" and it will be fiberglass. That's not the issue.

On the other hand, a supplier can't know your specific application. They can't know that your concrete pit is actually 1/8" narrower than the drawing. They can't know that the safety standard your client requires is more stringent than the general industry spec. That's your job.

Part of me wishes I could just trust the catalog and move on. Another part—the part that has the scar from the 2022 rework—knows that trust without verification is just wishful thinking. I reconcile this by treating the supplier as a partner in quality, not a mind-reader. I ask the questions, I share the spec, and we work together to make sure the right product gets shipped. It's a conversation, not a guess.

The real cost of skipping the check

Let me put this in perspective. In 2024, our team processed 350 orders for industrial materials. We had 22 returns or reorders. Half of them—11 orders—were directly attributable to a spec that wasn't checked. The total cost of those 11 mistakes, including return freight, restocking fees, and project delay penalties, was just over $14,000.

Now, the average time to check a spec thoroughly? About 20 minutes per order. For 350 orders, that's 117 hours of spec-checking time in a year. At a loaded hourly rate of, say, $45, that's an investment of about $5,265.

So, for an investment of $5,265 in checking, we can avoid $14,000 in rework costs. That's a return of nearly 3-to-1. And that doesn't even include the intangible costs: the lost trust from a project manager, the stress of a last-minute scramble, the hit to your reputation for "getting it right."

From my perspective, the math is undeniable. Prevention is cheaper than the cure. Every time.

Here's my challenge to you, whether you're a contractor ordering metal grating or a facilities manager ordering wire mesh for a retrofit: the next time you go to place an order, take 15 minutes before you click "submit." Walk out to the site, measure the opening yourself. Pull up the product data sheet and compare it to the engineering spec. Write a packaging note. It feels slow. It feels annoying. But I'd argue it's the single most productive 15 minutes you'll spend on that project.

Did I miss a detail in my checklist? Probably. That's fine. I'm not perfect. But not checking at all is a choice you're making to accept a high probability of pain later. The way I see it, you can spend a little time now on prevention, or a lot of time later on correction. Your call.
